What's new?

EPOS Data Time Allocation

We are excited to announce the introduction of a new setting, EPOS Data Time Allocation, designed to enhance the management of your Access EPOS data imports. This feature will provide greater control over the timing of data allocation, ensuring a more streamlined and efficient process.

Key features

  • Default Start Time: When the EPOS Data Time Allocation setting is enabled, the default start time for allocating EPOS data will be set to 00:00. This ensures that all future data allocations begin at the start of the day, providing consistency and clarity in your reporting.

  • Overrides Rota Start Time: This new setting will override the existing Rota Start Time setting, specifically for Access EPOS data. This means that the EPOS data will be allocated independently of the Rota settings, allowing for more tailored data management.

  • Future-Only Application: It is important to note that once the EPOS Data Time Allocation setting is enabled, the Access EPOS import will utilise these new rules for all future imports. However, there will be no retrospective updates to previously imported data, ensuring that historical data remains unchanged.

Benefits

  • Improved Data Accuracy: By standardising the start time for Access EPOS data allocation, users can expect improved accuracy in their reporting and analysis.

  • Enhanced Flexibility: This feature allows businesses to better align their EPOS data management with operational needs, providing the flexibility to adapt to changing requirements.

  • Simplified Processes: With a clear default start time, users can simplify their data management processes, reducing the potential for errors and inconsistencies.

We encourage all users to take advantage of this new setting to optimise their Access EPOS data management. For further information or assistance in enabling the EPOS Data Time Allocation setting, please contact our support team.

New export - Rota Financial Data

We are pleased to announce the launch of a new export feature, Rota Financial Data, now available in the Standard Reports area of the system within the Rota folder. This export builds upon the existing Detailed Report found in the Rota week view area, offering enhanced functionality and flexibility for users.

Key features

  • Multiple Section Selection: Unlike the Detailed Report, the Rota Financial Data export allows users to select multiple sections, providing greater versatility in data extraction.

  • Additional Fields: The new export includes a range of additional fields to enhance reporting capabilities. These fields are:

    • Employees Post Title

    • Home Section

    • Rota Department

    • Rota Division

    • Rota Section

    • Rota Subsection

    • Payroll Type

    • Pay Type

    • Rota Start Date

    • Rota End Date

    • Rota Status

This expanded data set enables users to filter and tailor their reports more effectively, reducing the need for multiple exports and streamlining current processes.

Performance optimisations

  • Direct Export Functionality: The Rota Financial Data export has been designed to bypass our standard reporting tool, ensuring optimised performance. Given the potential volume of data and real-time calculations, this approach significantly reduces the time required to generate the report.

  • User Experience Enhancements: A pop-up notification will appear on the screen when the export is initiated, informing users that the export is running. Users can continue to navigate through Access People without needing to wait for the export to complete, enhancing overall workflow efficiency.

  • Single Week Export: The export feature allows for the selection of a rota week, with the calendar feature on the report criteria screen limited to selecting only a rota start date. This design choice is aimed at optimising performance. While we plan to review this feature in the future to allow for multiple weeks, users can currently select one week across multiple sites.

Access permissions

  • Controlled Access: The Rota Financial Data export is protected by a new permission setting, Rota Financial Data Report, located under the Report permissions. This allows administrators to manage who has access to run the report effectively.

  • Default Access for Administrators: By default, Access System Administrators will have access to this report. Any other roles requiring access will need to be assigned the new permission to ensure appropriate visibility within the Rota standard reports folder.

Enhanced filtering options for custom reporting

We are excited to introduce new filtering options for Custom Reporting, designed to improve user experience and data management. These enhancements allow users to filter date columns more effectively, making it easier to analyse absences and leaves.

New filtering features

  • Filter by Blank Entries

    • Functionality: Users can now select 'Blank' from the filter options for any date column.

    • Use Case: This feature is particularly useful for identifying absences that lack an end date, allowing for better tracking and management of ongoing absences.

  • Filter by Specific Dates

    • Before: Users can select the 'Before' option and choose a specific date. This will return all entries where the date is before (and inclusive of) the selected date.

    • After: Similarly, the 'After' option allows users to select a specific date, returning all entries where the date is after (and inclusive of) the selected date.

  • Relative Date Filters

    • After Today: Users can now filter for entries with date values that are today or later by selecting the 'After Today' option. This helps in identifying future absences or leaves.

    • Before Today: Conversely, the 'Before Today' option allows users to filter for entries with date values that are today or earlier, aiding in the review of past absences.

  • Saving Filtered Reports

    • Persistent Filters: When users select any of the above date filter options and save the report, the selected filter will be retained. This means that users can easily pull up the report at a later date with the filters already applied, streamlining the reporting process.

Benefits

  • Enhanced Data Analysis: These new filtering options provide users with greater flexibility and precision in analysing absence and leave data.

  • Improved Efficiency: By allowing users to save their filter selections, we reduce the time spent reapplying filters for future reports.

  • User-Friendly Experience: The intuitive design of the filtering options ensures that users can quickly and easily find the information they need.
