You can create templates and then add increment rules for length of service. So, for example, if someone has 28 days as standard but gets an extra day after completing 5 years’ service, your system should be set up like the below:

28 days

0 years

29 days

6 years

The reason it will be 6 years rather than 5 is because the system looks at what year of service, they are currently in. So, if someone gets an extra day after working 5 full years, in their 6th year they will get the increment. You also then have to decide if the length of service will be applied on their anniversary start date or at the start of the next leave year.

πŸ€“Tip: We recommend you having it set so they receive the day at the start of the new leave year rather than on the anniversary of the start date to prevent complications with pro rata-ing.

To add length of service increments to holiday entitlements, follow the below steps:

  1. Go to Settings and select Module Settings.

  2. Select HR and then Holiday Entitlement.

  3. Click on the relevant template or click Add Holiday Entitlement if creating a new one.

  4. Tick the Length of Service checkbox, you can choose between years or months for your increments.

  5. Click Add Length of Service then enter the new entitlement, this needs to be the full FTE, not just the additional days or hours.

  6. Enter the Current Year of Service value, how many years need to be completed to receive this entitlement.

  7. Add more increments as needed by clicking Add Length of Service again.

  8. Click Save when finished.

So, for example if someone begins working for you on the 1st of October but your leave year runs Jan to Dec, then they will not receive their extra day until the Jan.
