Duplicate post reference numbers

It is possible to have duplicate post reference numbers, however, is not recommended.

Duplicate post reference numbers can occur in the HR system, but each post should ideally have a unique reference number. If you find duplicates, you may be able to change them based on your system's configuration.

Posts uploaded via Data Manager can sometimes bypass validation checks, leading to duplicates. Always check for duplicates before uploading. Additionally, database amendments by Access People Hospitality can also cause duplicate references, though Access typically ensures uniqueness during such changes.

To change a post reference number, providing that the configuration of your system is set up to do so), you will need to follow these steps:

  1. Navigate to the Post Setup or Post Admin menu option on your system and click into this.

  2. Find the post with a duplicate post reference number by searching for the reference or sorting by the Reference column so the posts appear in order.

  3. Click into the desired post.

  4. Within the Basic Details section of the post, click Edit in the top right.

  5. A pop-up window will appear, within the post reference field, amend the reference to a unique value.

  6. Click Save.

πŸ“ŒNote: If you do not have the option to amend the post reference number in step 5, this will likely be because the global setting titled post auto reference is set to true and means the system will set the post reference to a unique value when the post is added to the system from within the Post Admin/Setup screen.
