Get to know your standard reports

You can get to know your standard reports in a few easy steps.

The system provides standards reports based on different topics, we'll provide an overview of the existing articles and how you can access them.

Access your standard reports

  1. Click Reports then click Standard Reports.

  2. Expand the relevant folder and click the required report.

  3. Click Run Report.


Get to know your standard reports

We have a variety of standard reports covering different topics. Each will be presented alongside a summary detailing its purpose and content.


Compliance

This folder includes the following reports:

  • Document Acknowledgement Report: this report provides a list of all documents for the selected employees that have been set to requires acknowledgement and identifies the current acknowledgement status and date of acknowledgement.

  • Right to Work Report: this report shows the right to work description and expiry date of said right to work.

  • This report is for DfE funded schools returning their Workforce Census. It allows them to export and see all the data that would be returned within the official Workforce Census Export to review and ensure is correct. This is not your workforce census export you would use to upload to collect. To generate the actual workforce census XML file, please go to the import / export portion of the system.

Data Extract

Full Employee Data Extract Report: this report will provide an extract of the data held against both current and former employees. The extract contains sensitive data and should only be generated by those users who have permission to view this information.


Employee

Single Central Data Report: this report shows employee recruitment and vetting check details.


Establishment

Post Information Report: this report provides details on the Posts recorded in the system including employees currently in Post and statistics on positions filled, hours available and FTE.


Holiday

This folder includes the following reports:

  • Holiday Information Report - Days: this report will show holiday information for all employees in days based on the last time the accruals data was updated. It will show the total entitlement, the year-to-date entitlement, what has been taken and what the remaining number of holidays is. This will also be shown in a financial figure based on the rota average hours and the employee's rate of pay. The report will also show a breakdown of the remaining holidays to take. This report will show one line per employees' employment.

  • Holiday Information Report - Hours: this report will show holiday information for all employees in hours based on the last time the accruals data was updated. Pay

This folder includes the following reports:

  • Pay and Allowance Export: this report shows post information such as title and salary for each employee, as well as any regular additional payments or deductions attributed to their roles.

  • Pay Claims: this report shows the details of claims that have been submitted using payroll claims via either self-service or admin batch input.

Processes

Pending Approval Report: this report provides a list of all outstanding approval actions that exist against the specified employee(s).


Recruitment

Vacancy Info & Candidate Status Report: this report provides details on the Vacancies created within the date range specified, the status of the vacancy and the number of applicants at each vacancy stage.


Rota

This folder includes the following reports:

  • Rota Adjustment Report: this report shows adjustments made to the rota which will impact employees pay.

  • Rota Headcount: this report provides a detailed overview of scheduled headcounts within specified Rota weeks, broken down into 30-minute intervals. It includes only Rota hours, excluding Holiday, Sickness, and Training hours, and prioritises actual hours over forecast hours. Users will see headcount data for each section and subsection, with a rolled-up summary for sections. This aids in effective workforce scheduling and resource allocation, ensuring optimal staffing and operational efficiency.

  • Rota Hours: this report provides a comprehensive overview of work hours within specified date ranges, inclusive of the provided dates. The summary is categorised by different types such as rota hours, holiday hours, sickness hours, and training hours. Users can expect a detailed breakdown of these hours, aiding in workforce scheduling management and ensuring fairness across employees. Only information from completed rotas will be included in the report, ensuring data accuracy for decision - making purposes.

  • Time and Attendance Report: this report shows time and attendance for an employee on rota, it will show forecasted, clocked and actual time depending on the status of the rota.

Sickness

Employee Sickness Report: this report provides a list of employees' sickness days within given date range.
