Troubleshoot rotas

You can troubleshoot rotas, in a few easy steps.

There are several things that can go wrong when you manage rotas. You can troubleshoot rotas in cases one of the below happens:

  • A subsection is not showing on the rota.

  • Unable to complete rota day after completing a part week rota.

  • Unable to edit or delete absence on a completed rota.

  • Employee not appearing on the rota.


A subsection is not showing on the rota

There are a number of reasons a subsection may not show on the rota, including:

  • If there are no posts or posts without employees in a subsection, it won’t show on the rota. The exception is if you selected ‘Show on rota screen when no employees on rota’ while editing the subsection.

  • You’re missing the relevant permissions for the subsection.

  • The subsection was not set up to show on rotas.

Follow the steps below if you are not sure:

  1. Click on the subsection via organisation structure.

  2. Expand Division, Section then click on Subsection.

  3. Click Edit Subsection and then Edit.

  4. Select Display on Rota.

    • Will only affect newly created rotas.

  5. If there are no currently employed employees in the subsection, select Show on Rota screen when no employees on Rota which will show the empty subsection on the rota and allow you to borrow into the subsection if needed.

  6. Click Save.


Unable to complete rota day after completing a part week rota

If a day within the past week remains open or the first part of the week has not been completed, you will be unable to complete a next week's rota and days within.
When using part week rotas, please complete all subsections, days and first part of the week before completing the rota week.

To make sure this is done correctly, follow the below steps:

  1. Click into My Team.

  2. Click on Team Rotas.

  3. Click into the part week rota, and make sure that:

    • Each day is ticked as completed.

    • All subsections within each day are completed.

    • Part week is completed, click into the day that finishes part week, such as the last day of the month.


Unable to edit or delete absence on a completed rota

If you are trying to delete or update a holiday record, but the system message below is showing, you will need to re-open the rota that this holiday record spans over first, then, you will be able to update or delete the holiday record.


Employee not appearing on the rota

If any changes have been made to an employee's employment and they don't appear on the rota, try to remove them from the rota.

Follow the below steps to refresh the employee's data:

  1. Search for the relevant employee by using the organisation search then click the Payroll tab.

  2. Click the Rota tab then click Edit.

  3. Untick the box then click Show on rota then click Save.

  4. Repeat the above steps, click edit and then re-tick show on rota.

  5. Click Save.


Run rota export issue
