Add an absence through the rota

You can add an absence through the rota, in a few easy steps.

You can add sickness and holiday records through the rota, without having to go to employee's profile.


This can also be useful if a member a staff should be able to add absence for employees, without having access to their profiles.

Permissions required

You will need two permissions:

  • Absence and Holiday Administration Can Add

  • Sickness Admin Can Add


Add an absence through the rota

  1. Go to My Team and then click Team Rotas

  2. Click on the rota week, in which you want to add a sickness or holiday for an employee

  3. Click on one of the Days, for example, the day when an employee was off sick or the day when a holiday starts.

  4. Find the employee, and click on Sickness or Holiday icon within their row on the rota

    • The Heart icon is for Sickness.

    • The Sun icon is for Holiday.

  5. Fill out the details, as you would on employee's profile.

  6. Click Save and then Submit.

πŸ“ŒNote: If the employee you have added a holiday in for has a leave approver, the holiday won't show on the rota until it is approved. A Sickness record will show on the rota regardless.

Both sickness and holiday records will pull through to employee's profile immediately, regardless of if it's pending approval or auto approved.
