Access to documents

You can give access to documents so you can control who can see and manage employee documents.

You can give access to documents if you assign the permission Employment documents, you'll need to assign the view part of the permission.

🤓Tip: No strikethrough means enabled, strikethrough means disabled.

You give this permission so someone can:

  • View the documents section on an employee’s profile.

  • Upload files like contracts, passports, visas, or other personal paperwork.

  • Keep important documents stored in one place on the employee record instead of paper files.

  • Make it easier to find documents later when needed.

It’s especially useful for HR or managers who need to store role‑specific or personal documents for employees. These files are only visible to that employee in Self Service, so sensitive information stays private.

You can also use documents to store shared files like policies or handbooks in the Content area so employees can access them through Self Service.
