To carry out background checks on your employees or potential new employees before they join the company and wish to log these checks against the employee for future reference, you can do this within their profile. This will mean the employee or potential new starter needs to be set up with an employment first.
Recording the background check
To record the background check for an employee, you will first need to load their profile.
When in the profile, select the Employment menu and then the Background Checks tab.
Click the Add Background Check button.
You can now enter the details of the background check carried out including check type, renewal date, certificate number and date among other fields.
Click Save to store the record against the employment.
Configuring additional check types
The system will come with some background check types already present such as DBS however should you wish to add additional check types to be available to select, this can be done by:
In the left-hand menu structure, locate Settings.
Expand Module Settings and then expand HR.
Click into Background Check Type then click Add Background Check Type button.
Complete the details of the pop out window such as Description, Check Category, Reporting Category and Higher-Level Check.
There is also an obsolete checkbox present if you wish to stop using a check at some point, this can be selected.
Click Save to add the new check type to the system and make it available to select in the employee screen.
Configuring additional check categories
The system will come with some pre-defined check categories such as barred list, however if you wish to add additional background check categories this can be done by following the below steps:
In the left-hand menu structure, locate Settings.
Expand Module Settings and then expand HR.
Click into Background Check Categories then click Add Background Check Category button.
Enter the description for the category.
Click Save and you will now be able to begin using your new category when setting up a new background check type.
