The Show on Rota flag determines whether an employee appears on rotas and affects several key functions.
What it controls
Makes employees visible on rota schedules.
Enables proper leave booking restrictions, prevents booking leave longer than a week.
Includes employees in monthly holiday export files.
Shows clocked in/out times in the rota and calendar screens.
Add the Show on Rota flag
To add the Show on Rota flag for an employee, follow the steps below:
Use the organisation search to search for and select the affected employee.
Click Payroll, then click Rotas.
In the top right, click Edit then select Show on Rota.
Click Save.
Employee doesn't have the Show on Rota flag selected
If an employee doesn't have the Show on Rota flag selected, this can result in the following:
They can book leave for longer than a week.
This is regardless of if the Limit Leave Global setting is enabled, as they weren't showing on the rota or hourly paid.
They won't be picked up in the monthly holidays export file as they weren't selected to show on the rota.
๐Note: If your employee's paid hourly for hours worked on the rota or timesheet, or they were set to show on rota, the system prevents the absence adding to the rota.
