What is ATS integration
ATS means applicant tracking system and it refers to the process of connecting an applicant tracking system with other software platforms, in our case is Access People.
An ATS is a specialised software that helps your company manager your recruitment activities like tracking candidates, organizing job postings, scheduling interviews and maintaining candidate data.
πNote: If you require to have ATS integration, you need to speak to your account manager or customer success manager.
Prerequisites
There are prerequisites that must be achieved before the integration can be successful.
ATS provider to be in scope of the integration. This means that Access has an agreement in place and have completed end to end testing followed by a successful beta. To confirm if an ATS provider is in scope or to make a request to include a new ATS, speak with your Customer Success or Account Manager.
You are required to be on Access Evo, Evo ids are used within the APIβs and without this the APIs cannot be used.
πNote: This integration is aimed at new and rehired employees; it does not support transferring an employee from one employment to another. In this scenario you must continue to manage transfers directly in the Access People Hospitality system. The integration uses a personβs National Insurance number to validate if a People record exists and if it is in a state of termination.
Therefore, employees with a National Insurance number are in scope of this integration. Any users without a NI number are not in scope of this integration and required to be added to the People system manually via the Add Employee function.

Reference data
You can change the data you capture to be reflective of your business needs. For the integration to be successful the data provided from the ATS provider must match the data within People.
To support the integration, Access have provided the ATS providers the ability to extract reference data from the People system. It is the decision of the ATS provider to identify which reference fields they extract and how often, Access recommends that reference data is extracted at least once a week.
The following list details all the available reference fields that can be extracted from People.
Contract basis.
Contract Types.
Ethnicities.
Genders.
Grades.
Marital Status's.
Nationalities.
National Insurance Categories.
Payroll Types.
Person Identification (Title).
Posts.
Religions.
Section Names.
Sexual Orientation.
Subsection Names.
πNote: If configuration in People does not match that of your ATS system, a request is to be made to your ATS provider for further analysis. In the scenario the ATS system captures additional data that belongs to one of the fields above, but it is not available in People, for example Payroll Type, you can update the People system configuration.
You can see new fields to the ATS application programming interface (API), enabling work contact details to be provided.
The following fields have been added to the API:
work email
work address
work mobile number
work telephone number
extension number
If you are an existing user of ATS integration, please check with your ATS partners to include the above fields. Consideration should be given to copy the personal email address into the work email field automatically.
