Manage the national minimum wage

You can add or update the NMW scheme on the system or apply the new national minimum wage uplift in a few easy steps.

⚠️Important: This is only for adding a new NMW scheme rate and not changing a current rate.

Add a new national minimum wage rate

To add a new National Minimum Wage rate, follow the below steps:

  1. Click on Configuration and then click on Settings.

  2. Click on Module Settings and then click on Payroll Settings.

  3. Click National Minimum Wage, this will open the NMW rates page on the right.

  4. Now press the Add National Minimum Wage button on the top right, this will open a new dialog where you can set up the new rate.


Update the national minimum wage

To update your national minimum wage (NMW), follow the steps below:

  1. Click Settings then click Module Settings.

  2. Click Payroll Settings then click National Minimum Wage.

  3. Select an age range then click Add National Minimum Wage Change.

  4. Enter the date for these changes, in the value box enter the new rate.

    • Once this date comes around, the changes you've made automatically apply.

  5. Repeat for each age range.

📌Note: To see the rate changes, go to the Gov website.


National minimum wage won't update because the value must be greater than zero

When you're updating the national minimum wage, if you get the error message Start Age - Value must be greater than zero, this is because one of the NMW bands has a value of £0. Bands must be more than £0 for you to uplift.

📌Note: If you've entered the £0 lines, you may not need to enter the NMW Band within the new year's uplifts.


Automatically approve new national minimum wage rates

To set the new national minimum wage, rates to automatically approve, follow the steps below:

  1. Depending on your setup, click Admin or Configuration.

  2. Click Settings, then click System Settings.

  3. Click Global then search for and select Automatic Payment Updates.

  4. Set the Boolean to True.

  5. Click Save.

📌Note: These steps set the system to only change NMW automatically for an employee.


Can't add a new starter without a national insurance number

When adding a new starter, you can select whether the NMW has been provided or not. If you select that it hasn't been provided, you will be required to select the reason.

📌Note: If you have selected the reason and filled out all required details, and are getting an error message Profile N.I. Number is required you need to contact us.


National minimum wage required error when changing an employee's salary

If you are encountering a National minimum wage required error when trying to create a new pay line for an employee, this is due to the minimum wage field in the pay screen not being set correctly.

You can resolve this by following the below steps:

  1. In the Cannot Proceed pop up box, click Cancel.

  2. Click Edit on the right side of the Min Wage field.

  3. Select the correct National Minimum Wage band for the employee.

  4. Create the new salary or pay line for the employee in question.


No national minimum wage available when adding a new employee

If you are adding a new employee or pay record into the system with a start date/effective date in the past, and you are unable to add a pay record as there is no available minimum wage to select from, please check if there is a national minimum wage change set that would apply to this date.

For example, if an employee's start date or pay effective date is in 01/01/2006, however, the earliest national minimum wage change applies from 01/01/2010, there will be no scheme that applies to this employee. Therefore, you won't be able to proceed.
