Use time worked in lieu

You can use time worked in lieu of various ways.

Time Worked in Lieu (TWIL) is for employees who work more hours than their contracted schedule. It is separate from standard holiday entitlement but can be taken alongside or instead of holidays. TWIL requires approval from the line manager.

For setting up a new Absence Class for Lieu, you need adding or amending an absence class.

⚠️Important: The permissions Lieuday Self Service and Lieu Day need to be enabled to allow the correct people to add, use and administrate TWIL.

Add TWIL

The system provides an additional TWIL statistics area where any available/used TWIL will be shown. This is found by following the below steps:

  1. Find the employee profile then click on Absence.

  2. Click TWIL or Self-service.

  3. Click TWIL.

TWIL can be added as a value of days or hours, to suit the time that was ‘overworked’. Where an employee’s holiday is in days, you can book lieu in hours, and the system will work out how many days that relates to provide the system has got the necessary details it needs such as average hours per day.

From Self-service

The employee has the ability to add TWIL as time worked in either hours or days with a comment being optional, but a company can always insist that details be specified of the day, times etc before the approver will actually approve it. Depending on the approval rules, the system will send the TWIL request for approval where it will be actioned just as with any other action. Once approved, the TWIL will be added to the available statistic.

From a manager entry

A manager can add it to an employee by following the below steps:

  1. Find the employee using the organisation search then click on his Profile.

  2. Click Absence tab then click TWIL.

📌Note: This may be subject to the approval rules, depending on how the system is configured.

Using TWIL

In order for TWIL to be used, absence records need to be set to Allow Lieu. This activates the option to use the TWIL balance when adding a holiday. Note that TWIL cannot be combined with sicknesses.

Self-service

When requesting a holiday and you choose the correct absence class, the system allows you to specify how much time goes against the Time in Lieu allowance and how much of the holiday goes against the holiday entitlement. The stats are updated to show the values requested and depending on the approval rules, once approved, the system deducts the requested values from the TWIL and holiday entitlement allowances.
