Time Worked in Lieu (TWIL) is for employees who work more hours than their contracted schedule. It is separate from standard holiday entitlement but can be taken alongside or instead of holidays. TWIL requires approval from the line manager.
For setting up a new Absence Class for Lieu, you need adding or amending an absence class.
⚠️Important: The permissions Lieu day Self Service and Lieu Day need to be enabled to allow the correct people to add, use and administrate TWIL.
Benefits of using time worked in lieu
Below you can see a couple of practical benefits of using time worked in lieu:
It helps keep work-life balance fair when someone works overtime, by giving them paid time off in return.
It can be tracked in the system shown in the TWIL statistics area, so balances are clear and easy to manage.
You can set an expiry date for lieu, so it doesn’t sit in someone’s balance forever and encourages people to use it within a set timeframe.
Add TWIL
The system provides an additional TWIL statistics area where any available/used TWIL will be shown. This is found by following the below steps:
Find the employee profile by using the organisation search
then click on Absence.Click TWIL or Self-service.
Click TWIL.
TWIL can be added as a value of days or hours, to suit the time that was overworked.
📌Note: Where an employee’s holiday is in days, you can book lieu in hours, and the system will work out how many days that relates to provide the system has got the necessary details it needs such as average hours per day.
From Self-service
Employees can log TWIL as hours or days, with an optional comment. Companies may require specific details such as dates and times before approval. The request follows standard approval workflows, and once approved, the TWIL is added to the available balance.
From a manager entry
📌Note: This may be subject to the approval rules, depending on how the system is configured.
A manager can add it to an employee by following the below steps:
Find the employee using the organisation search
then click on his Profile.Click Absence tab then click TWIL.
Use TWIL
You need to set absence records to allow lieu to enable employees to use their TWIL balance when adding a holiday.
📌Note: TWIL cannot be combined with sicknesses.
Self-service
When you request a holiday with the correct absence class, you need to choose how much time comes from TWIL and how much from holiday allowance. The system updates the totals and once approved, deducts both amounts.
