Permission to modify an employee's record

You need a specific permission to be able to modify an employee's record so that only a limited number of users to have access to this to maintain security of the accounts.

If you, as a manager, require access to amend an employee's record such as start date, end date, reinstate an employee, edit an existing post or position, delete an employment record or a person record, you need to have specific permissions added to your profile by an admin user.

Permissions required

The following permissions control access to specific employment management actions:

  • Modify an employee's start date: HR Admin - Can Modify StartDate.

  • Modify an employee's end date: HR Admin - Can Modify EndDate.

  • Reinstate (un-terminate) an employee: HR Admin - Can UnTerminate.

  • Edit an existing Post/Position: HR Admin - Can Edit Post + Position.

  • Delete an employment record: HR Admin - Can Delete Employment.

  • Delete a person record: HR Admin - Delete Person.

  • Access the Flag as Do Not Re-Employ option: HR Admin - Do Not Re-Employ Flag.

🤓Tip: No strikethrough for permissions means enabled, strikethrough means disabled.


Add the required permissions

Follow the steps below to allocate the correct access:

  1. Click Admin then click Post Setup.

  2. Select the correct post and click into it.

  3. Select Security then click on Permissions.

  4. Search for the required permissions that you need to add to the post.

  5. Highlight the icon then click Save.

📌Note: You need to run a batch update and HR update. You should now have access to modify the start date for another employee.

You need to be aware that once you amend an employee's start date their effective start date on their pay line will need to be amended too.
