Permission to see date of birth

You can allow an employee to view other employees' date of birth based on their role responsibility and practical HR needs.

Use cases

You can give someone permission to view an employee’s date of birth when:

  • They need it for their role: for example, HR staff or managers may need this information for things like eligibility checks, reporting, or workforce planning.

  • They manage employee records: roles that handle HR administration may need visibility of key personal details to maintain accurate records.

  • It’s part of their job function: some roles are specifically set up to view employee details, including date of birth, as part of their normal duties.


Permission required

If you have a staff member or employee role that needs to view other employees' date of birth, you need to enable the below permissions:

  • HR Employee.

  • Employee age and date of birth.

📌Note: To enable these for everyone in a role, you need to enable them against that role.


Enable the permission for an employee

To enable the permission for an individual, follow the steps below:

  1. Open the employee's profile by using the organisation search then click Employment.

  2. Click Position then click Post details.

  3. Click Security, then select Permissions.

  4. Click Editthen search for and enable the permissions.

  5. Click Save.

📌Note: For the changes to take effect immediately, you need to run a HR post update. No strikethrough means enabled, strikethrough means disabled.
