Swap, transfer or make shifts available

You can swap, transfer or make shifts available if this option is activated on the system.

You can follow this guidance as an employee only if these settings are activated on the system by your system admin or manager.

As a manager, activate swap, transfer or make shift available on the system

To activate these options so that your employees can swap, transfer or make shifts available, follow the below steps:

  1. Click Configuration or System Admin, depends on how your system is configured.

  2. Click Settings then expand System Settings.

  3. Click Global and search for the following options:

    • Shift Swap: Allow Employees to Auction Shifts

    • Shift Swap: Allow Employees to Swap Shifts

    • Shift Swap: Allow Employees to Transfer Shifts

  4. Click into each option and select the Boolean parameter.

  5. Change the Boolean drop down to True.

  6. Click Save.

πŸ“ŒNote: If you add or remove the functionality for employees making shifts available for other employees to apply for, swap or transfer, as these are global settings, the changes impact all employees.


As an employee, swap, transfer or make shifts available

To swap, transfer or make a shift available, follow the below steps:

  1. Once logged on the system, click Self Service.

  2. Click My Rota then click into a scheduled shift where you will be presented with 3 options:

    • Swap Shift: I want to swap this shift with the shift another member of staff.

    • Transfer Shift: I want to transfer this shift to another member of staff.

    • Make Available: I can't work this shift and wish to make it available to other members of staff, this shift is still your responsibility until somebody else has claimed it and it has been confirmed by your manager.

  3. Choose one of the above options, complete the mandatory fields and complete the required action.
