Setup holiday entitlement rules

The holiday entitlements within Access People will allow you to set a template for a set number of days or hours which can be assigned to an employee for each absence period to determine how much leave they are able to book within the absence period. The holiday entitlement the employee receives will be influenced by:

  1. Number of days/hours in the entitlement template

  2. Whether there is any Length of Service Increments on the entitlement template

  3. Their FTE Hours set on the pay record. If an employee is on a 25-day entitlement but works 80% FTE, the 25-day

  4. entitlement will be pro-rated for that employee to be 80%, giving them an entitlement for period calculation of 20 days.

There are other factors that can be taken into account based on the global settings around Holidays and Leave Accruals which will impact all employees such as:

  • Holiday Entitlement: Round Up - This controls whether the holiday entitlement should be rounded up (e.g. 19.9 days becomes 20 days).

  • Holiday Entitlement Uses Continuous Service Date - This controls whether the holiday entitlement should be counted from the entered continuous service date for the employees rather than employment start date (useful for where someone may have transferred across payrolls onto a new employment).

  • Leave Accrual: Custom Holiday Accrual Percentage Enabled - This controls whether a custom accrual percentage value can be set.

  • Leave Accrual: Custom Holiday Accrual Percentage Value - This controls the custom percentage at which employees will accrue holiday at when working.

  • Leave Accrual: Enable Hourly Paid Employments to Book Projected Leave - This setting controls whether employees of this pay type, Hourly paid, can book leave in advance of earning this through accrual. There are similar settings for each pay type (Salary, Fixed Weekly, Shift).

  • Leave Accrual Cap to Contract Days or Hours - This setting determines whether employees can accrue over their contracted hours or days when working more hours than contracted. Should be reviewed if you use Zero Hour staff.

  • Leave Accrual: Use Weekly Accrual for Hourly Paid Staff - This setting controls whether weekly accruals are used for the hourly paid staff and will look at the rota hours if switched on. There are similar settings for each pay type (Salary, Fixed Weekly and Shift).

Employees also have the ability to carry forward leave into the next period where they have unused holiday entitlement which will then add into the balances for the next absence period entitlement. To configure these rules, you will need to review the Leave Carry Forward settings.

Adding a leave adjustment to an employee will also alter their holiday entitlement balance.
