Give new starter access to the system prior to their start date

You can give a new starter access to the system before their start date so they can feel prepared before their first day.

You can give a new starter access to the system before their start date once the new starter has been created.

Benefits of giving early access

Giving new starters access can be useful for things like:

  • Reviewing HR information such as policies, documents, or onboarding materials before they start.

  • Getting familiar with the system so they’re not completely new on day one.

  • Feeling more engaged and prepared, which can make the first day smoother and less overwhelming.

📌Note: It’s also worth noting that this access is temporary. It only applies before their official start date, and their normal permissions take over once they’ve started.

Give early access process

A new starter can access the system before their official start date.

  • First, make sure their employee profile has been created and includes an email address.

  • Then send them a password reset so they can set their login details and sign in.

A couple of things to keep in mind:

  • If the employee is still a pending starter, they can log in but the system may appear blank until their start date.

  • You can also enable the Pre‑Starter Role Access setting so they inherit a specific role and can view HR information or documents before their first day.

So, in short: create the profile, add their email, and send a password reset to give them early access.
