You can add a new effective date on a negotiating body, in a few easy steps.

This is mainly about controlling when pay changes take effect without breaking historical data.

You can add a new effective date on a negotiating body when:

  • Pay rates are changing from a specific date.
    • e.g. annual uplift, National Minimum Wage increase, or agreed pay award
    • lets you apply new values going forward while keeping old ones intact.

  • You don’t want to overwrite past pay scales
    • a new date creates a new version instead of editing history

  • You need payscales available for earlier/later dates
    • e.g. a new starter’s date is before your current payscales, so nothing shows.

  • Your current payscales are only future-dated
    • adding a current or past effective date makes them usable now

It keeps payroll accurate across time by versioning pay structures rather than replacing them.

To add a new effective date on a negotiating body, follow the below steps.

Add a new effective date on a negotiating body

  1. Go to Setup and click on Settings.

  2. Click on Module Settings and select Payroll Settings.

  3. Select Pay Grade and Payscale.

  4. Click on the arrow next to the tile of the negotiating body.

  5. Click on New then add in a new effective date at the top.

  6. Edit the pay scales as needed. You can also mirror a previous effective date by selecting it from the Based on dropdown list.

  7. Click on Save and Push Out Changes.

  8. Click on Go if you want to push out the changes or close the window.


Make sure there are grades effective on the same date

Once the above has been completed, make sure there are also grades effective on the same date by following the steps below:

  1. Click on the Grades tab.

  2. Click on a grade and click on Add.

  3. Enter the new effective date and select the lower and upper pay scale for this grade.

  4. Click on Save.
