You can generate absence stats so you can have your absence reporting and leave figures updated.

You can generate absence stats when you need your absence reporting and leave figures to be fully up to date, because it recalculates all leave statistics up to the present date.

This is especially useful after youโ€™ve made changes to absence records, or when youโ€™re about to run absence reports and want to make sure they reflect the latest totals for everyone.

If youโ€™re using this as part of a year-end process like carry forward, it should only be run once the absence period has ended, because it can adjust remaining entitlement to zero.

๐Ÿ“ŒNote: Once you generate the absence stats for the period, this will generate all the leave statistics up to the present date.

You can generate absence stats in 2 ways:

  • With absence period schemes.

  • Calculate absence stats within custom processes.

Generate absence stats with absence period schemes

You can generate absence stats with absence period schemes by following the steps below:

  1. Go to System settings.

    • Usually in the Configuration or Admin Menu tabs depending how your system is configured.

  2. Click on Module Settings and then click HR.

  3. Click Absence Period Scheme and then click into the period scheme.

  4. Click Generate stats.


Calculate absence stats within custom processes

To calculate absence stats within custom processes, follow the steps below:

  1. Click Menu structure then find Custom Processes.

    • This would need to be enabled in the menu structure and require permission to view the tab.

  2. Click the Execute Process button.

๐Ÿ“ŒNote: Once you have completed all steps in either method, the absence statistics will be re-calculated in the background and can take up to 20 minutes to complete.

Once this job has finished, re-running any absence reports should now display the up-to-date absence statistics for all employees.
