Add historical absences in bulk

You can add historical absences in bulk, in a few easy steps.

You can add historical absences in bulk when you need to get past leave or sickness into the system quickly for lots of employees, instead of entering them one by one.

Itโ€™s especially useful for:

  • Adding old leave or sickness records even on closed rotas.

  • Uploading a batch from a spreadsheet via Data Manager validate first, then upload.

๐Ÿค“Tip: Add just one record first, check it looks right on the employeeโ€™s profile, then upload the rest.

๐Ÿ“ŒNote: Once uploaded via Data Manager, issues caused by incorrect uploads canโ€™t be reverted, so itโ€™s worth double checking the absence class and absence period scheme before you upload.

To upload multiple employee absences to the system, follow the below steps:

  1. Click System Admin or Configuration, this will depend on how your system is configured.

  2. Click into Historical Leave, loads the below fields will appear:

    • Employee Number

    • Absence Period

    • Start Date

    • End Date

    • Absence Class

    • Days / Hours, the system will allow the keywords Days or Hours to be input here.

    • Working Days / Hours Lost, all of these fields are mandatory.

  3. Enter the employee absences into Data Manager.

  4. Click validate then click Upload.

๐Ÿค“Tip: The system will allow you to copy employee absences from an excel spreadsheet, which will save time in this process.

We do suggest adding 1 employee absence in at first, then checking on that employees record that everything is appearing correctly, if the absence is appearing correctly, you can proceed to uploading the rest of the absences in via data manager.
