Add an adjustment to an employee on the rota

You can add an adjustment on the rota because it’s how you record extra pay like overtime or a bonus for a specific rota day, so it gets picked up in the next payroll run after the rota export is run.

📌Note: Rota adjustments use pay elements, so you need a new pay element to create. Be sure to notify your Payroll Executive so it can also be set up in the payroll system.

To add a pay adjustment to the rota in order to increase an employee's pay, follow the below steps:

  1. From the left-hand menu, select Rotas.

  2. Use the Organisation and Date filters to locate and open the rota where you need to add the adjustment.

  3. Find the required employee on the rota.

    • If the employee needs to be borrowed onto the rota, this can be done by clicking into the Borrow/Agency button at the top of a rota.

  4. Next to each employee's name, click Adj to open the Adjustments pop-up window.

  5. If an adjustment already exists for the employee on this rota, it will be displayed in the Adjustments section. To add a new adjustment, click Add.

    • You will then see a drop down for adjustment for you to select the correct adjustment needed for the employee.

  6. There may be a Value field to complete. Depending on the pay element setup, this may require manual entry or be automatically populated.

    • You can also enter a Narrative to describe the adjustment, if enabled for the pay element.

  7. Click Add to save the adjustment.

    • A green adjustment label will then appear beneath the employee's name and job title, indicating that an adjustment has been added.
