Employee who is not shown on the rota to clock in and out

You can have an employee who is not shown on the rota to clock in and out with some restrictions.

This usually happens when the Show on Rota setting is turned off for that employee, they can still clock in and out, but their times won’t appear on the rota or calendar unless that setting is enabled.


If you wish for the clocked times to be shown in the system, you'll need to show the employee on the rota.

If they still don’t appear after that, try refreshing the setting by following the steps below:

  1. Use the organisation search and open the employee’s Profile.

  2. Go to the Payroll tab.

  3. Click Rotas on the right-hand side.

  4. Click Edit.

    • That often refreshes the rota data if it hasn’t updated properly.

  5. Unselect Show on Rota then click Save.

  6. Go back into Edit then select Show on Rota again.

  7. Click Save.

This quick toggle refreshes the employee’s rota data if it hasn’t updated properly after changes.
