Use clock-in functionality management

As there are several methods for clocking in and out within Access People Hospitality, there are a few management tools you may wish to be aware of to help control the clock in and out process.

Time Tracker

If you are using the Time Tracker functionality to clock in and out of shifts, you will want to ensure that the Time & Attendance rules are set as you require. The Time & Attendance rules allow you to set intervals of time covering clock ins and outs and set rules around whether a clock in/out note becomes mandatory and also the clock face to be displayed on both the time tracker and rota screens to highlight any good, bad or ok clock in/out times.

If you utilise overnight workers, you may need to change a global setting on your system to have the Time Tracker functionality work better for employees working over the rota start time, this is typically 3am unless changed in your global settings.

If you need to reset an employees clock PIN or a section's time tracker password, this can all be done within Access People.

With employees clocking in and out and you having set up your Time & Attendance rules, you can set the system to automatically use the clock times for the actual times, by amending a global setting, meaning the times used for payments of shifts will link to the clocked times for the employees and ease administrative tasks of updating actual times manually.

HR & Rota Mobile App

A key part of allowing employees to clock into shifts via their mobile device using the HR & Rota mobile application is that you can set a geo-fence perimeter around a site to ensure that employees can only clock in and out when on site. You can control the coordinates (latitude and longitude) and a tolerance in metres within the Access People system against each section to configure the Geolocation settings.

You can manage the visibility of forecast shifts within the mobile app so that employees can see forecast shifts or can only see the actual shifts.

Send push notifications to the mobile device using the HR & Rota app when a vacant shift request is actioned, so employees are made aware instantly.

Biometric Clock

If you use a ZKTeco Biometric Clock to have your employees' clock in and out of their shifts, you may experience some employees being added to the system and not to the clock device. To correct this, you may need to have their section migrated to the clock device.
